Viewing Workflow Actions on a Live Document
Who is this article for?Users who would like to see the actions completed as part of a Workflow on a particular Live document.
Access to EQMS v6, along with access to EQMS Document Manager and EQMS Change Manager.
When documents are being reviewed within an Approval Path, their associated actions as part of a Workflow can be viewed within EQMS Document Manager. However, the process of finding such actions on a document already reviewed (I.e., in a Live status) resides in EQMS Change Manager.

Please note that while the steps in this article are correct, the images shown are for illustration purposes. You should continue to follow your Company policies and processes when managing documents in EQMS.
1. Viewing Expected Actions on a Document
If a document is already in a Live status, then its expected actions for if an updated version is raised can be reviewed. For example, if I improve a document and increase the version from v1.0 to v1.1, then the planned workflow actions to facilitate this version increase can be seen.
To view these actions on a document with a status of Live or Awaiting Approval:
- Navigate to EQMS Document Manager > Documents > Manage Documents
- Specify the search criteria for the document and click into the relevant one, as shown below
You should be presented with something like below:
- Once you are within the document, click on Approval Path and you should be presented with the following:
As shown, there are different actions that would be carried out as part of this preestablished Approval Path.
Please note that the above image is for demonstration purposes, and you would have different people actioning each stage within an Approval Path. Please be sure to follow your workplace processes when managing Workflows and Approval Paths.
2. Viewing Actual Actions on a Document
Viewing the actual actions completed as part of a document's Workflow or Approval Path resides in EQMS Change Manager. This is because a change has been raised when an improved document has been uploaded in EQMS Document Manager. As such, the steps to find these completed (and historical) actions takes a different approach to the above steps.
To view these actual, historic actions on a document:
- Navigate to EQMS Change Manager > Changes > Request for Change
- Specify your search parameters to find the associated document and version you are looking for, as shown below:
- Once you click into the Request for Change that you are looking for, you should be presented with the following image. Click on the highlighted Actions button to view the actions carried out on that particular document version.
- Once the Action button has been clicked, you should be presented with the following:
- Clicking on each of the underlines Actions will open further information, as shown below:
