Raising Inspections

Inspection Manager is a module designed to assist your company with raising a new inspection and carrying these out. Within this article we will be discussing the process of raising an inspection.

1. Inspection Process
Below is an illustration of the overall process for raising, carrying out, and closing inspections.
2. Raising a Scheduled Inspection
Scheduled inspections are set for a specific date and can be reoccurring.
To raise a scheduled inspection:
- Go to My Inspections.
- Open the All Inspections view.
- Click the Create Scheduled button.
You will be taken to the page below.
- Enter a Title The title is used to identify the record throughout the system.
- Provide an optional Description.
- Select an Inspection Type.
This acts as a template for the inspection you are raising. It will define which questions are included in the checklist and which locations are available for inspection. - Set a Start Date.
- Define the Completion Period.
This will define how long the inspector has to complete a single inspection before it becomes overdue. - Choose the Repeat frequency.
- Set an End for the cycle.
- Select Location(s).
A separate record is raised for each select location. - Click Save at the top of the page.
3. Raising an Ad-Hoc Inspection
Ad-hoc inspections are intended to be a single instance inspection.
To raise an ad-hoc inspection:
- Go to My Inspections.
- Open the All Inspections view.
- Click the Create Ad-Hoc button.
You will be taken to the page below.
- Enter a Title.
The title is used to identify the record throughout the system. - Provide an optional Description.
- Select an Inspection Type.
This acts as a template for the inspection you are raising. It will define which questions are included in the checklist and which locations are available for inspection. - Select Location(s).
A separate record is raised for each select location - Set a Due Date.
This is the target date for the inspection to be completed by. - Click Save button to confirm the creation of a new inspection record.
When raising Ad-hoc inspections, you will be set as the inspector by default. You can learn how to assign a different inspector in the section below.
4. Assigning an Inspector
Once an inspection has been created, the screen with refresh to reveal additional details.
From here, you can assign or re-assign the records to the relevant inspections. Only a single user can be assigned as the Inspector.
To change the assigned inspector:
- Select the inspection you wish to assign from the Inspections list.
- Choose the new assignee from the Assigned to dropdown.
Only inspectors that have permissions to carry out inspection of the specific type and at the select location will be available for selection. - Click Save to confirm.

5. Checking-out an Inspection
If an inspection is due to start and you have permission to access it, you will be able to assign this to yourself.
If the Check-out icon appears in the list screen in the row of an inspection, it means that you have the correct permissions to carry out the inspection and no other inspector is currently assigned.
Clicking the icon will set you as the inspector and allow you to carry out the inspection.
