Searching for Documents in Navigator
Who is this article for?Users who need to find and use Documents in the Documents library.
Document User (EQMSUSER) permissions are required.
Navigator offers several search and filtering options you can use to find the items you need. This article explains them all. Each search method will require you to go to Navigator before you can follow the steps provided.
1. Right-click Search
To search for items:
- Right-click the Component Set or Sub-Component that you would like to search.
- Set the search criteria using the available filters.
If a string is provided for Document Title and Content Search, only Documents that meet both criteria will be shown. - Click Search.
Your results will be displayed in a list.
To search the whole branch of the Tree, tick the Include Sub Folders box.
To view Documents, click the File icon to the left the Document title.
To see where the Document is linked into the Navigation Tree, click the Structure icon to the left of the Document title.
2. Document Search
Performing Searches
To search for Documents with a "Live" or "Link to Structure" status:
- Switch to the "Search" tab.
You will see the search options from the last time you accessed this section.
- Click the Clear icon to remove previous search criteria.
- Activate search filters by ticking the boxes to the left of their name.
All selected filters must be true for the Documents you are searching for or no records will be found. - Enter values into the active fields.
- Click Search.
Your results will appear in the Search Result section of the screen. You can filter them further by selecting options from Refine Results on the right..
To view Documents, click the File icon to the left the Document title. Any Documents viewed will be populated in your Recently Viewed Documents list.
To favourite Documents, click the Add to Favourites icon to the right of the record row. Bookmarked Documents will be highlighted with a Star icon.
Saving Searches
To save a search, click the Save Current Search button next to the Saved Searches header.
Your saved searches can be located by expanding the Saved Searches bar.
To run one of your Saved Searches, click its title.
To remove a Saved Search, click the Delete icon to the right of the title.
Search Filters
There are seven search filters you can use to locate your Documents
| Filter | Description |
|---|---|
| ID | Searches for the string entered in the "Enter ID Number" field. If your system has been set up to use System ID, you can search for Document ID "47". If your system has been setup to use Org ID you can search for Document ID "123". |
| Title | Searches for the string entered in "Enter Title Phrase" field. If you enter "fuel", you will get results for refuel, fuelling, fuel analysis, etc. |
| Synopsis | Searches for the string entered in the "Enter Synopsis Phrase" field. If you enter "cost", you will get results for costed, costs and accosted |
| Content and Free Text | Searches for either of the separate words (if there is more than one) in the "Enter Content Phrase" field. If you enter "fuel analysis", you will get results for all Documents containing either or both of the words. |
| Content and Advanced | Smart search employed on "Enter Content Phrase" contents, using keywords. |
| Topic | Searches all Documents in the database or selected Control Type that have the selected Topic associated with them. |
| Metadata | Searches for all Documents in the database or selected Control Type that have the selected Metadata Type and Value associated with them. If a Document Control Type is not selected the entire data base will be searched. |
