Defining and Managing Action Types
Who is this article for?Users who are responsible for Action Type management.
Change Manager (CHGUSER) or higher permissions are required.
Each approval path within Document Manager is created from a series of Actions. Templates for these Actions are referred to as Action Types. Within each Action Type, you can define what level of information and functionality will be available to the specific Action when issued as part of a Document approval/change.
1. Accessing Action Types
To access Action Types:
- Go to Change Manager.
- Select Workflow.
- Choose Action Types.
2. Creating Action Types
To create an Action Type:
- Click New Action Type.
- Assign it a Code.
- Give the Type a Title.
- Scope is a preset fields that shows the module the Type was created in.
- Tick Enable Item to make the Type available for selection when creating a new Action.
This feature is provided so that you can remove Action Types from active use, while retaining them for use with previous Actions which have been retained for information purposes. - Enter Actionee instructions in the Text field.
These instructions will be put into each Action generated from this Action Type, where the text can subsequently be customised. - Select an optional Escalation Path from the dropdown.
- Pick an Escalation Path from the dropdown (if required).
- Tick any of the required additional settings:
- Comment on Closure - Requires the Actionee to supply comments when completing an Action.
- Completion Date - Requires the Actionee to supply a completion date when completing the Action details.
- Abandon Change Path - Allows the Actionee to Abandon the Change in its entirety. If the RFC only contains one Change, then the RFC will also be abandoned.
- Create New Action - Allows the Actionee to create a new Action within the Change for continuation or completion.
- Redirect Action - Allows the Actionee to transfer ownership of the Action to someone else.
- Attach a Document - Allows the Actionee to associate a Document with the Action.
- Repeat Sequence - Allows the Actionee to loop the Change back and select which Actions in the Change Path should be rerun.
- Modifiable -Allows the Actionee to amend the Action's metadata.
- Increase Priority - Allows the Actionee to amend the Action's priority. Priority denotes the Action priority and effects the presentation of the Action in the Actionees To Do List.
- Click Save.
If Change Manager Module Parameter "Invite RFC Action modification pre-launch" has been set to True, you will also see the following variable parameter: "If Can Change Actionee is checked then an Action within a Document Approval path may have its Actionee altered prior to releasing the Approval process".
3. Amending Action Types
To edit an Action Type:
- Select an Action Type from the list.
- Modify the details as required.
- Click Save to confirm.
