Creating Documents for PDF Conversion
Introduction
PDF Conversion within EQMS utilises is a 3rd party application. It effectively uses ‘best guess’ technology to render Word files into PDF format and it sometimes can struggle where documents are particularly complicated or haven’t been initially created using best practice document creation techniques. The challenge is knowing what will cause problems. I’ve listed a few hints and tips below that could help with future document creation and therefore PDF Conversion.
Your Word Document may render correctly when saved as PDF but will not convert correctly in EQMS.
Best Practice Guidance
- Avoid using Carriage Returns and the Space Bar when trying to create alignment; Use Page Breaks and Tab.
- Insert page numbers using the header/footer icon located on the Insert tool ribbon.
- Set line-spacing using the line space icon, located on the Home tool ribbon.
- Set your font type and size.
- Set your margins using the Page Layout tool ribbon and Page Set Up Group.
- Check your styles and use the available formats
- Try not to have multiple images on top of each other.
- Keep images simple and small.
