Accessing and Managing Organisational Areas
Who is this article for?Users who maintain records stored within the system.
System Administrator(SYSADM)permissions are required.
Organisational Areas can be associated with records throughout the system, enhancing the search functionality. This article gives instructions on how to create and administer these.
1. Accessing Organisational Areas
To access Organisational Areas:
- Navigate to System Manager
- Go to Organisations
- Select Organisational Areas.
You will be presented with the list of existing Areas.
2. Creating Organisational Areas
To create a new Area:
- Select New Organisational Areas located above the Description column heading.
You will be presented with the Organisational Area details screen.
- Enter a Code.
- Provide a Description for the Area you're creating.
- Select a Parent Department from the dropdown to create a sub-department.
- Enter an optional definition for the Area as a Comment.
- Check Enable to denote whether the Area is available for selection.
This feature is provided so that you can remove Organisational Areas from active use, while retaining them for use with Document history records for information purposes.
Unable to modify a greyed out field?
ID and Date Modified fields are unchangeable and default to a specific value.
'ID' defaults to a number in a sequence and is set by the module. 'Date Modified' defaults to when the creation took place.
3. Modifying Organisational Areas
To modify an existing Area:
- Locate the required Organisational Area's record.
- Click its Description.
You will be presented with the details screen.
- Amend the required fields.
- Click the Save icon.
