Configuring Workflow Templates
Who is this article for?Users responsible for establishing pre-set Workflows.
Issue Manager (ISSMGR) or higher permissions are required.
Issues Manager allows you to create and use Workflows (also known as Change Paths) that ease the Issue handling process. They ensure the relevant personnel is notified when an Action is required from them and allows for easy and useful reporting on current progress.

1. Accessing Action Types
To access Action Types:
- Navigate to Issue Manager.
- Select Issue Manager.
- Choose Workflow.
The Action Types list screen will be displayed.
2. Creating Action Types
To add the details of a new Action Type:
- Click the New icon located to the right of the Action Types header bar.
The blank Action Type details screen will be displayed.
- Complete mandatory fields: Code, Title, Instructions, and Target Period.
- Tick the Active box to make the Type selectable.
- Check the relevant Actionee permissions:
- Comment on Closure - Requires the Actionee to provide comments before completing the Action.
- Abandon Change Path - Allows the Actionee to reject the complete Workflow.
- Redirect Action - Allows the Actionee to send the Action to another user for completion.
- Repeat Sequence - Allows the Actionee to repeat any of the previous Actions before returning back to them.
- Hide Action History - Removes the History button from the icon bar and prevents the Actionee viewing the previous Actions in the Workflow.
- Restrict To-Do List View - Prevents the Actionee from viewing the Issue Details, any Journal Entries, or any attached Documentation.
- Completion Date - Allows the Actionee to provide their own completion date rather than being system populated.
- Create New Action - Allows the Actionee to send a Referral Action to any user with the ability to return to them after completion.
- Attach Document - Allows the Actionee to upload a reference Document to the Action.
- Increase Priority - is selected allows the Actionee to increase the To Do list priority.
- Audit Trial Completed Actions - Creates a journal entry for every completed Action containing the Actionee’s comments, and will also make any associated documents available from the "Issues Documents" tab.
Once you have created an Action Type, you can add it to a Change Path.
3. Amending Action Types
To edit Action Types:
- Select the "Workflow" tab in the left-hand tabs list.
- Switch to the "Action Types" tab above the working area.
- Select anywhere in the record row of the target Action Type.
The Action Type Details screen will be displayed.
- Apply your changes.
- Click the Save icon to the right in the screen header bar.
4. Accessing Change Paths
To access Change Paths:
- Navigate to Issue Manager
- Select Issue Manager.
- Choose Workflow.
- Switch to the "Change Path" tab.
The Change Path list screen will be displayed.
5. Creating Change Paths
To create a Path:
- Click Add New.
This will display a blank Change Path screen.
- Provide a Code, Title, and Description.
- Tick the Enforce Repeat Sequence box if you want to ensure that if the Workflow has a loop.
- Check the Relative Target Dates box to set Relative Target Dates.
Using Relative target dates prevents the use of Repeat Sequence and the ability to Create New Actions within the Workflow.
Dates work both forwards and backwards, this means that you can set a target period for an Action to -3 and when issued it will be calculated to be due to start 3 days before the fixed target date. Using this method you can ensure that your Workflow can be completed before the required due date. - Ensure that Active is checked to make the Workflow selectable.
- Click Save.
6. Adding Actions
To add an Action to the Workflow:
- Click the Add Action icon below the Actions List.
An overlaid "Select Action Type" screen will be displayed.
- Choose the required Action by selecting anywhere in the record row.
Selected Action Type will be added at the bottom of the Actions List in the lower part of the Change Path Details screen.
7. Amending Change Paths
To edit details of a Change Path:
- Select anywhere in the record row of the target Change Path.
- Apply your changes.
- Click the Save icon to the right of the screen header bar.
Below the details of the Change path is a grid that lists the Actions in the Change Path.
To re-sequence the Actions within the Change Path click the Up and Down Arrow icons.
To delete an Action from the Change Path, click the Bin icon to the right of the Action record row.
To modify one of the Actions in the Change Path:
- Select anywhere in the Action record row.
- Apply your changes.
- Click the Save icon to the right of the screen header bar.
