Setting up Workflows
Who is this article for?Users who are responsible for administering preset change paths.
Audit Administrator (AUDADM)permissions are required.
Workflows allow you to predefine Change Paths built up of Actions. This means you can better automate and control the process of addressing Non-Conformances and other findings.
1. Accessing Workflows
To access Workflows:
- Go to Audit Manager.
- Select Housekeeping.
- Choose Workflow.
2. Creating Workflows
To create a Workflow:
- Click the Add New Record icon above the list of Workflow records list.
The fields in the Change Path Details screen will be cleared. - Give your Workflow a Code.
It's useful if you have multiple Workflows, for sorting them into groups. - Enter a Title.
- Tick Active to make the Workflow selectable in other areas of the module.
This feature is provided so that you can remove Workflows from active use, while retaining them for use with previous Workflows that have been retained for information purposes. - Provide an optional Description.
- Change the Owner if needed.
- Click Save.
You can now build your Workflow.
To build your Workflow:
- Click Add New Action.
- Select an Action Type from the dropdown list.
- Amend details as required.
- Click Save to confirm the addition to your Workflow.
Repeat these steps for each additional Action until you have a complete list at the bottom of the Details screen.
The sequence can be altered by using the Up and Down arrows to the left of the Actions in the list.
Actions can be sequenced to be carried out in parallel. Parallel Actions will be kicked off to the relevant Actionees at the same time.
Once all parallel Actions have been completed, the Change Path will progress to the next Action in the sequence
3. Amending Workflows
To edit an existing Workflow:
- Select the required Workflow from the records list on the left.
Change Path Details should be displayed on the right.
- Change details as required.
- Add, remove, or rearrange Actions.
- Click Save to confirm any changes made.
