Creating and Managing Audit Types
Who is this article for?Users who are responsible for managing audits.
Audit Administrator (AUDADM) or higherpermissions are required.
Audit Types pre-specify some aspects of an Audi. This avoids having to repeatedly set these aspects up for regularly repeated Audits. Chief amongst these aspects are associated Metadata Types and Checklists.
1. Accessing Audit Types
To access Audit Types:
- Navigate to Audit Manager.
- Select Housekeeping.
- Choose Audit Types.
2. Creating Audit Types
To create an Audit Type record:
- Click the Add New Record icon, located above the list of Audit Type records.
The Audit Type Details screen will be cleared. - Complete the mandatory fields: Code and Title.
- Tick Active to make the Type selectable.
- Enable optional settings by ticking boxes:
- Checklist Modifiable - Enables control to be exercised over Questions in the Checklist(s) in the related Audit.
- Require a Comment - Makes the Comment field in the Questionnaire mandatory.
- Auto Closure - Causes the Audit to automatically close once the Questionnaire and associated Findings and Actions have been cleared.
- Set the Owner as Audit - Defaults the Auditor for each of the questions to the Audit Owner.
- Mandate Completion Sequence - Forces the sequence of the Audit Sections.
- Require Organisational Area - Makes the association of an Organisation Area mandatory.
- Auto Start Audit - Makes Audit Records automatically change status to Ongoing on the defined date.
- Auto Finding Popup - Enables a pop-up window to appear prompting Findings whenever a non-conforming answer is selected.
- Issue All Action - Causes the system to automatically issue all raised actions once the Questionnaire has been submitted.
- Click the relevant Associate... icon to associate Standards, Organisation Areas, Checklists, or Metadata.
You will be presented with the chosen Selection List screen.
- Use filters to look up the items you need.
- Choose the required items by ticking the relevant boxes.
- Click the Associate Selected... icons.
- Click Save.
3. Amending Audit Types
To edit an Audit Type record:
- Select the row of the relevant record in the left hand list.
Audit Details will be populated. - Amend the details as required.
- Click Save.
