Creating and Managing Departments
Who is this article for?Users responsible for Department records.
Training Administrator (TRGADM) permissions are required.
Department membership is populated by associating defined Groups. Each Department can have one or more Managers. These Managers can view the training records for each member of the Department. Training records can be raised by Department for all or some of its members.
Departments are Hierarchical. Users who are Managers of a department with sub departments are able to see the training records of all the users associated with their direct apartment and all the sub departments.
1. Accessing Departments
To access Departments:
- Navigate to Training Manager.
- Select System Admin.
- Choose Departments.
The screen is paginated and records are viewed by selecting the page numbers to the bottom left of the list screen. The list can be filtered by Department, based on a string of characters contained within the name and a check box for inclusion of inactive records.
The list is also Hierarchal. To reveal child Departments, select the arrow to the left of the Department title.
Select the Search icon to display your filtered list. The list can be sorted by column.
2. Creating Departments
To create a Department:
- Click the New Department icon located to the right in the Departments List header bar.
Or, to create a child Department, select the New Department icon in the row for the relevant department.
The New Department Details screen will be displayed similar to this:
- Give your Department a Name.
- Tick Active to make it selectable in other areas of the module.
- Click Save.
Once saved, Groups can be associated with the Department record.
3. Assigning Departments
Groups
To assign a Group to a Department:
- Choose a Department by selecting anywhere in the record row.
- Choose a Group from the dropdown box.
- Click the Add Group icon.
Any Groups that may have been added in error can be removed by selecting the Remove Group icon to the right of the Group title.
Managers
To assign a Manager to a Department:
- Choose a Department by selecting anywhere in the record row.
- Choose a Manager from the dropdown box.
- Click the Add Manager icon.
Alternatively:
- Choose a Department by selecting anywhere in the record row.
- Click the User List icon.
- Filter the list by alphabetical selection
- Choose the Manager by selecting anywhere in the record row.
Any system user can be selected as a Department Manager.
Department Managers can not only view their own Training Records but can also view the Training Records for all members of that Department.
4. Amending Departments
To edit a Department:
- Choose a Department by selecting anywhere in the record row.
- Amend any of the non-greyed out fields.
- Click the Save icon located to the right of the Department Details header bar.
