Associating Items with Suppliers and Supplier Types

Supplier Administrator (SUPADM)permissions are required.
From local document attachments to Issue Records, many different items and records can be associated with a Supplier record. This article guides you through the different associations that can be made.

1. Associating Products
Products can be associated with a Supplier and represents the products that can be purchased from this Supplier. Products can be associated individually or an entire Product Type range can be associated with a Supplier.
To associate Products with a Supplier:
- Go to Supplier Manager.
- Select Suppliers.
- Choose the Supplier you want to amend by selecting anywhere in the record row.
- Switch to the "Products" tab.
The Supplier Products standard list screen will be displayed.
- Click the New Supplier Product icon located to the right in the Supplier Products header bar.
You will be taken to a New Supplier Product details screen.
- Tick the box next to the Products you want to associate.
Products are denoted by the presence of a Code. - Click the Link Supplier Product icon to the right in the header bar.
The following system message will be displayed when the action has completed:
The Supplier Products screen will be updated to include your selections.
Individual Products can be removed by selecting the Delete Supplier Product icon to the right of the record row.
2. Associating Product Types
To associate Product Types with a Supplier, switch to the "Products" tab once in Supplier Manager.
The Supplier Products standard list screen will be displayed.
- Click the New Supplier Product icon located to the right in the Supplier Products header bar.
You will be taken to a New Supplier Product details screen.
- Tick the box next to the Product Types you want to associate.
Products are denoted by the absence of a Code. - Click the Link Supplier Product icon to the right in the header bar.
The following system message will be displayed when the action has completed:
The Supplier Products screen will be updated to include your selections.
Product Types can be removed by selecting the Delete Supplier Product icon to the right of the record row.
When a Product Type range is associated with a Supplier, all Products of the selected Type (regardless of status) will be associated with that Supplier.
3. Associating Documents
Navigate to the "Documents" tab to display the document list.
Network/Local Document
To attach a Document with a Supplier:
- Click the New Attachment icon.
The overlaid screen will be displayed.
- Complete the mandatory Title field.
- Browse for a file to be uploaded from any accessible computer/folder.
- Click the Upload icon to the right in the header bar.
Documents can be viewed by selecting the View Document icon to the right of the record row. It will be displayed in a new browser screen.
Documents can be removed by selecting the Delete Document icon located to the far right of the record row.
EQMS Document
To attach a copy of an EQMS Document to a Supplier:
- Click the Attach EQMS Document icon.
The overlaid EQMS Document screen will be displayed.
- Use the filters to search for the required document.
- Click the Attach icon to associate the document.
EQMS Document Link
To create a live link to an EQMS Document with a Supplier:
- Click the Link EQMS Document icon.
The overlaid EQMS Documents search screen will be displayed.
- Use the filters to search for the required document.
- Click the Link icon to associate the document.
4. Associating Organisational Areas
Organisational Areas can be associated with a Supplier to help with filtering and reporting.
To associate an Area with a Supplier:
- Go to Supplier Manager.
- Select Supplier Manager.
- Choose Supplier from the menu on the left.
- Select anywhere in the record row for the Supplier you need.
- Switch to the "Organisational Areas" tab.
- Use the filters to search for the required Area.
- Click the Link Organisational Area icon to the right of the record row.
The page will refresh, and show the updated records.
5. Associating Standards
Standards can be associated with Suppliers to help with filtering and reporting, or to identify which Standards each Supplier has to maintain.
When you select the "Standards" tab from the top bar you, will see the below screen.
The standards listed on the left-hand side of the screen are drawn from the System Management module within the system.
To associate a Standard, click the arrow to the right of its record row. It will then appear in the list on the right-hand side of the screen.
To remove this link, click the arrow to the left of its record row.
6. Associating Module Items
Suppliers can have other entities associated with them for reference purposes.
For example, some Suppliers may have to have a Supplier Audit performed on them prior to purchasing anything from them. This Audit record can be associated with the Supplier.
The items you will be able to associate with a Supplier is controlled by the module System Settings and your visibility of the other modules.
Navigate to the "Associated Items" tab to see what entities are currently attached to the Supplier.
To associate a new item:
- Select the Associate New icon to the right of the relevant header.
Below is an example where we attach an Audit item.
- Use the filters to identify the item you want to attach.
- Click the Associate icon to the right of the record row.
A system message will be displayed.
