Sharing Items and Folders

BI Reporting access is required.
Sharing your work enables other users to manage and amend the widgets that have been created by another user. This article will take you through the steps to share items and folders with others.
1. Sharing Items
Individual reports and widgets can be shared from one user to another. To be able to share an item you must locate it in you My Items folder (or any folder that has been created under My Items).
Each item in the list will have a Share icon. A grey share icon indicates that the item has not been shared with anyone. A green share icon indicates that the item has been shared with other users.
To manage the sharing of the item:
- Click the Share icon.
You will see who the item has been shared with in the sharing panel. - Find the user you want to share the item with.
- Click the add icon next to their name.
Repeat as necessary for each user. - Click the bin icon to stop sharing the item with a user.
Items that are shared will appear under the Shared With Me folder. You are unable to directly edit items that have been shared with you, however, you are able to save the item to your own area and then edit them from there.
2. Sharing Folders
In much the same way folders and their contents can be shared from one user to another. By hovering over the folder, the sharing icon should appear. A grey share icon indicates that the folder has not been shared with anyone. A green share icon indicates that the folder has been shared with other users.
To share a folder, follow the same methodology as sharing an individual item. The shared folder will now appear as a folder under the Shared With Me area.
You can drag and drop the folder that is under your Shared With Me area under another folder that is under your My Items Folder. By doing this, a folder shortcut is created with a special icon.
